CTRA's Recognition Policy (Approved January 15th, 2024)

CTRA offers a number of recognition "advantages" for our supporters depending on the nature of the contribution and the amount. Our goal is to provide consistent and transparent recognition for contributions that are representative of our donor’s wishes and in accordance with the guidelines of Revenue Canada.

The primary distinction between the type of recognition offered is whether CTRA considers the contribution as a donation or a sponsorship. A donation entitles the donor to a tax receipt and as such, the recognition offered is subject to the limitations on the values of advantages outlined by The Canadian Revenue Agency. A sponsorship does not require a tax receipt and as such, does not face similar restrictions.

CTRA has developed our levels of recognition within both the donation and sponsorship categories in our best effort to acknowledge and advertise the support of our contributors while ensuring that the program resources devoted to recognition efforts remain minimal.

Although the policy described here provides an outline of what is offered in each category at each monetary level, we are happy to work with individual supporters to ensure that the unique wishes of each contributor are met.

CTRA supports the donor bill of rights and all cash contributors are sent a recognition letter - which provides an opportunity to opt out of any or all of our standard recognition advantages.

*A database with current email addresses will be updated regularly by office staff and a monthly donor report will be provided at the monthly board meeting.

Recognition Items/Advantages

Tax Receipts

Tax receipts are issued for monetary donations of $25 or more. Receipts are issued several times per year, in time for the following tax season.

In-Kind-Gifts

CTRA's stables and offices are always in need of the supplies and equipment that make our program possible. In-kind donations mean that more of our program funding serves our core services.

Our used tack store and silent auction initiatives are other important ways we use turn donated items into funding for our program. Donated horse equipment, etc. will either be used directly in the program, sold in our used tack store (proceeds go towards CTRA), or will go towards our “Free Horse Stuff Store” (for the benefit of the broader community).

In-kind gifts of new items (i.e. silent auction goods, materials/equipment for maintenance/repair, etc.) are eligible for a tax receipt when valued at $25 or more. Please note that donated gift certificates are not eligible for tax receipts according to CRA rules. In-kind gifts of new items valued at $100 or more will receive the recognition benefits as laid out in this document under Donations.

In-kind gifts of used items (i.e. horse tack) are eligible for a tax receipt when valued at $100 or more. In-kind gifts of used items valued at $500 or more will receive the recognition benefits as laid out in this document under Donations.

Note: Every effort will be made to use your gift for the purpose, initiative, or event for which it was intended.  Occasionally it makes sense to re-purpose donated items for other uses in the best interests of the program. (e.g. a Ride-a-Thon prize may be better suited as a silent auction item).  If you wish for your gift to only be used for a particular purpose, event, or initiative please let us know, we are most happy to try and accommodate your wishes!

CTRA’s newsletter is circulated to over 1000 contacts every season for a total of 4 issues per year. It is also posted to our Facebook page (reaching over 4000 followers)

The quarterly newsletter will be provided to volunteers/members/participants. The January newsletter will be emailed to EVERYONE (all supporters) and will include donor recognition and the annual report.

The newsletter is available (electronically) to all supporters of CTRA. For the sake of economic efficiency and the environment, CTRA does not mail out copies of the newsletter unless specifically requested.

A card with a holiday message is mailed to all donors in November.

Acknowledgement at Events

Sponsors (general program and event-specific) will be displayed on the sponsor banner at annual and special events. Event-specific supporters may be recognized through other, event-specific opportunities.

Facility Signage

Our program sponsors are also featured on facility signage.

Signage opportunities include the sponsor banner (all sponsors), stall plaques (horse sponsors), and arena signs (Gold donors)

The recognition policy represents a framework. We are always happy to work with any contributor to ensure that your support is acknowledged in the best manner possible. Please contact us to learn more or discuss other options.
